Volunteer Summit FAQs
When should I arrive?
Check in will be on Friday, June 23, from 10:00 am - 5:00 pm. Please plan to arrive by 6:00 pm to join us for a group dinner on campus with President Sarah Bolton.
If you arrive early please take this time to reacquaint yourself with campus and the Walla Walla community. We will share some self-guided campus and community tours and scheduled activities closer to Volunteer Summit weekend.

Car rental from Hertz or Budget is available at Walla Walla Regional Airport. Reservations are recommended.
Taxis also service the airport. You will need to call to arrange pick-up.

Valley Transit buses serve Walla Walla. To request a bus pickup from the Walla Walla airport, call Valley Transit at 509-525-9140. Bus route map and hours. The bus is free to ride during the summer, Memorial Day through Labor Day.
Where will I be staying?
Volunteers have the option of staying on campus in Stanton Hall at no cost, or at a hotel/vacation rental in the beautiful Walla Walla Valley.
Rooms in Stanton Hall will be available for check-in at 10:00 am on Friday, June 23. Check-out for all attendees will be by 11:00 am on Sunday, June 25.

What do I need to bring?
For those staying on campus, Whitman will provide bed linens, a pillow, and towels. Previous attendees suggest that you may be more comfortable bringing linens and an extra towel from home. It may also be helpful to bring an alarm clock, reading lamp and a few extra hangers.
A laptop or tablet will be helpful during some of the sessions for accessing our Volunteer by EverTrue platform and drafting letters and emails for your classmates.
What do I wear to Volunteer Summit?
This is a casual weekend of learning, working and fun! We recommend wearing comfortable clothing and shoes. Occasionally lecture halls and classroom breakout spaces run cold. Options for layering are useful. Note, photos and videography will be taken throughout the weekend so be yourself and be comfortable.
Is there childcare at Volunteer Summit?
We do not plan for children’s activities or supervision during Volunteer Summit.
Can I use my laptop?
Of course! Instructions for accessing Wi-fi while on campus will be available in your Welcome Folder. You may find it helpful to have a laptop or tablet during some of the sessions to take notes or access the Volunteer by EverTrue tool. We will have a few extra devices available for demonstrations, but you may feel more comfortable with your own device
Are meals provided?
All meals are provided for alumni volunteers throughout the weekend. Guests are invited to join us for Friday dinner, Saturday Dinner and Sunday morning breakfast. However, Saturday breakfast and lunch will be working sessions for volunteers and staff only. Be sure to note any dietary preferences when you register.
Eligible Travel Reimbursements
Mileage reimbursement will be made to the traveler using the IRS standard mileage rate (currently $0.655/mile) up to $600, non-tax deductible.
Reimbursement for a three-day car rental up to $600.
Domestic airline tickets which are purchased at least three weeks in advance at the economy class rate will be reimbursed up to $600.

- Parking fees for personal vehicle at your home airport
- Personal automobile mileage to/from your home airport
- Ferry/Taxi/Ride Share/Subway/Train fares to/from your home airport
Whitman will reimburse travel expenses up to a maximum of $600 total of eligible expenses. Travel reimbursements are only applicable for Whitman volunteers. A travel reimbursement form will be included in your Welcome packet and receipts will be required for processing. Please allow two to three weeks after submission to receive your reimbursement.
