Mailing Services
Information about the Campus Post Office, which is located in Reid Campus Center, can be found on the Campus Post Office page.
We are the Mailing Services team, part of the Office of Communications, located in Boyer House. Our team handles outgoing mail, including metering postage, address printing, mail merges, coordinating with shippers and managing USPS postal regulations and requirements. You can also ship packages via FedEx from our office.
Our Services
USPS Domestic Mail
- Your mail must be at the Mailing Services office (Boyer House) for processing by 2 p.m. to go out the same day.
- Unsealed envelopes can be left with flaps open or closed, but please have them all the same, especially for large orders.
- All mail should have your name or department to which it is to be charged.
- All parcels will be mailed USPS Ground Advantage unless marked differently.
USPS International Mail
- All foreign parcels should be identified as such and separated from domestic mail.
- Telephone numbers are mandatory on all international customs forms, per USPS regulation.
- A custom form is required for any overseas military address. Please provide all contents, quantity of each item and value of each item.
Permit Mailings
- Utilizing the permits that Whitman College holds reduces your postage costs for large mailings. If you have any questions, please email Richard Anderson.
To ensure same-day processing, FedEx items must be at the Mailing Services desk by 12 p.m. The weight limit is 150 pounds for Express and Ground services and 70 pounds for Home Delivery. Please complete the required FedEx Shipping Form, ensuring all fields, including the phone number, are filled out.
Printing on Envelopes and Postcards
- We can print return addresses in the upper left corner of envelopes and postcards or on the back flap of invitation-style envelopes.
- Addresses can be printed directly from your Excel file. Please ensure all address lists are in Excel format and email them to Richard Anderson. To discuss your specific project, contact Richard at least two weeks before your mailing deadline.
Mail Merges
- We can merge personalized letters with specifically addressed envelopes. Before starting your project, please contact Richard Anderson for the best postage rates.
Other Mailing Services
- Address Updates: We can help update your mailing lists to reflect USPS changes of address filed within the last 18 months. This reduces the risk of mail being returned or discarded. Any address changes, undeliverable addresses, or corrected addresses will be returned to you for updating your mailing list. This service is available even if you print envelopes in your own office.
- Tabbing: We provide sealing for folded pieces to ensure they can be processed efficiently.
- Folding and Inserting: If more than three pieces are to be inserted into a single envelope, please contact Mailing Services before starting your project.
