·       WEDNESDAY WORK FROM 4 TO 9PM—Updated Lists of Competitors and Judges due by 7pm; Test Run of Round 1 due by 9pm.

·       THURSDAY, WORK FROM 6 TO 11PM—Pair and Print Rounds 1 and 2 of IE A, IE B, and Parli.

THE IE ENTRIES (OR SHOW YOU WHERE TO DOWNLOAD THEM) AT ABOUT 6/6:15PM.

Get IE BALLOTS FROM JIM.

NOTICE: PUT WHITMAN DEBATERS JUDGE PARLI DEBATE—NOT INDIVIDUAL EVENTS.

BEGIN SETTING UP THE TAB PROGRAM(S). IE INFORMATION FOR WHEN YOU STARTUP THE COMPUTER PROGRAM:
            Tournament Name: Whitman College Speech Tournament
            Ranks on Ballot: 4
            Rates on Ballot: 24-30
            Number of Postings: 4
            Students break and are place in finals on the basis of: 1) RANKS; 2) TOTAL POINTS; 3) TOTAL RANKING MINUS WORST RANK AND WORST POINTS; 4) JUDGE PREFERENCE.

Events that have less than 12 competitors MAY be collapsed with the other division AFTER YOU GET JIM’S APPROVAL.

BE READING YOUR EMAIL. Jim will send you adds and drops. ADJUST ENTRIES FOR ANY LATE ADDS OR DROPS

BY 10:30PM, DOUBLECHECK ALL OF YOUR ENTRIES

BY 11PM, You need to EMAIL TO JIM
1) A list of the IE competitors and their events in School Order plus
2) A list of IE judges in School Order.
Jim sends these out for double-checking over e-mail AND THEY MUST GO OUT BY THIS EVENING.

WEDNESDAY BEGIN BY 4PM

 

AT 4PM, GET A “LIST OF AVAILABLE ROOMS” FROM JIM

 

IE A gets all rooms during its time slot

IE B gets the rooms that policy debate lets you use; don’t use Hunter rooms for IE B

Talk with Jim about which rooms to use.

 

Student Congress need rooms that can fit 20 people.

 

Interp gets the best rooms BUT cannot be in seminar style rooms (they need room to move around).

 

try to figure out better rounds for interp during round 2a of ie's. avoid using the auditorium/foyers

 

 

In general, ed. Comm., impromptu, and extemp get the worst rooms (typically Cordiner Auditorium Rooms)

 

After considering the above, give Open Division the better rooms.


NOTICE: DO NOT USE the EXTEMP PREP ROOM AND DEBATE TUB DROP OFF ROOM (usually Olin 130 or 161—see Jim) even if it is listed as available on the rooms sheet!!!!!

 

CHECK TO MAKE SURE THE BUILDING NAMES YOU USE ARE THE SAME AS THE ONES ON THE MAP

 

BY 7PM, Make ALL corrections for adds and drops AND Print out COPIES OF THE UPDATED "List of IE Competitors BY EVENT" and a “List of IE Judges BY SCHOOL.” Give to Jim or the Tournament Assistant.

 

BALLOT STAPLERS

Have them attach this many ballots to each IE cover sheet

 

Impromptu: 7 ballots

Ed Comm: 14 ballots

Expos and Interp Reading: 5 ballots

All other events: 6 ballots

 

 

THURSDAY BEGIN BY 8:00 PM

 

Fix for any late drops/adds/changes.

 

BY MIDNIGHT: Pair and print out Rounds 1 and 2 of Pattern A AND Round 1 and 2 of Pattern B

 

As much as is possible, Whitman students judge Parli instead of IEs.

IE PATTERN A: Extemp: 5, Ed Comm: 12, All other IE A’s: 6

IE PATTERN B: 4 or 5 (Interp Reading, Expos)

Note: If you exceed these numbers, the tournament will not run on time.
If you use less than these numbers, we will run out of rooms.

AT 10:30AM, DOUBLECHECK IE B ROOMS AND JUDGES WITH POLICY DEBATE PAIRINGS FOR ROUND 3
Make sure that policy judges aren't set to judge IE B or student congress. Its vital. This was a major problem at the 2004 hs tournament causing the round to be 40 minutes late; a late round interfered with a prof’s test (which could have ended our use of the science building).

 

ENTERING RESULTS? Remember only scores of 24-30 are permitted unless the tournament director gave permission for a lower score. ALSO-COUNT NO SHOWS AS A 4.

 

11AM: IE B ROUND 1 AND 2 PLUS STUDENT CONGRESS, BRING OUT AT THE SAME TIME

 

BY 5:30PM, PRINT OUT IE A-B ROUND 3.

DOUBLECHECK! Check to make sure the IE A and B panels are not using the same judges and rooms. This happened at the 2004 hs tournament and caused serious delays and problems.

 

BY 6PM: BRING OUT POSTINGS AND BALLOTS FOR IE A AND B ROUND 3

 

BY FRIDAY 11PM, SETUP IE FINALS

 

WHO JUDGES IE FINALS?

Not Whitman students. They need to judge Parli or help with Awards Setup.

 

IE FINALS BREAKING PROCEDURE

How do we determine who breaks?  We break according to the following:

1. Total Ranking

2. Total Rating

3. Total Ranking minus the worst ranking

4. Total Rating minus the worst rating

5. Judge Preference (finals only)

6. Most 1 rankings

7. Cumulative ranking (finals only)

8. Cumulative rating (finals only)

 

We break to finals only if there are 12 or more contestants in the division

DOUBLECHECK TO MAKE SURE THE IE TAB USES THE ABOVE PROCEDURE FOR FINALS!!!

How many break?
SEE THE TOURNAMENT INVITATION; JIM HAS NOW SET THE NUMBERS FOR BREAKING.

·       Are there any semi-finals?--No

·       How many judges per finals round? 3 (if we are short, 2 per finals round in junior division AFTER YOU GET JIM’S PERMISSION)

·       ARE YOU RUNNING OUT OF TIME? GET EXTEMP DONE FIRST. That way,  students can begin preparing as soon as possible.

 

BEFORE IE FINALS CONTESTANTS GET POSTED—

 

BE SURE TO DOUBLECHECK FOR BYES THAT JIM REQUESTED!!!! GO THROUGH THE RESULTS AND NOTE ANY PERSON GIVEN A ZERO!!!!

 

Look for any person given a forfeit, bye, zero points, and make sure that those are adjusted per any instructions Jim gave during the tournament. IT WOULD BE GOOD FOR JIM TO DOUBLECHECK THIS. In general, you should ASSUME THAT ALL COMPETITORS SHOULD NOT RECEIVE A FORFEIT OR ZERO POINTS and that you have to doublecheck those for proof that they should get a forfeit/zero points.

 

ROOMS FOR IE FINALS: SATURDAY IE FINALS ALL OCCUR IN OLIN SECOND AND THIRD FLOOR ROOMS ONLY—DO NOT USE FIRST FLOOR—THAT IS FOR PARLI

 

DOUBLECHECK POSTINGS: MAKE SURE IE A AND B AREN’T USING THE SAME ROOMS AND JUDGES. Check it!!! We caught this at the 2004 hs tournament and saved a lot of problems.

 

ON THE BALLOTS: Post a note on each Finals ballot stating that we will have 3 judges

GIVE THESE TO THE CUMS PEOPLE TO MAKE COPIES FOR EACH TEAM

 

WITH FINAL ROUND RESULTS—PLEASE DO A DOUBLECHECK WITH EACH BALLOT TO ASSURE THE RESULTS ARE ACCURATELY INPUTTED.

BEFORE THE AWARDS ASSEMBLY

Be ready to announce the winners in each event with school name and student name. ONLY A PERSON APPROVED BY JIM CAN ANNOUNCE THE TROPHIES!

 

 

BY 3:40PM, LEAVE FOR AWARDS ASSEMBLY

The procedure for announcing is as follows:

·       Announce the event (For example, “Impromptu” and call all Impromptu speakers in both junior and senior division to the side aisles)

·       Wait a moment for the competitors to come to the front sides

·       Then, announce the division in the event (For example, “Junior Division Impromptu”); they then come to the front stage

·       Announce the finalists (clapping between each--with full clapping at the end).

·       Announce 1st, 2nd, and 3rd place winners (clapping between)

·       PROCEED AS QUICKLY AS THE TROPHIES CAN BE GIVEN OUT (Watch the trophy givers and follow their speed in your announcing)
