1. IMPORT THE
DEBATE TEAM AND JUDGE ENTRIES FROM THE ONLINE SYSTEM OR INPUT INTO YOUR TAB
PROGRAM FROM THE LIST JIM GIVES YOU
NOTICE: FOR TEAM ABBREVIATIONS:

DO NOT USE SCHOOL NUMBER—USE SCHOOL NAMES ONLY—eg WWU
·
Try to use as long of abbreviated debater names as you
possibly can. EG WWU ShTo is better than ST
·
DOUBLECHECK IT! MAKE SURE NO team from the
same school has the same abbreviated name—if two teams’ abbreviations are close
to each other—try to fix that.
2. BY 11PM--Print out
a "List of Debate Teams sorted by school" and “List of Judges sorted
by school” for all divisions BY 11PM! Tell Jim when you have done this. He will
get the electronic files from this (Note—you have to print the lists in order
for Jim to get them)
3. BY 11PM--JIM ALSO
NEEDS TO GET THE NUMBER OF TEAMS IN EACH DIVISION (This is so he can setup the
room lists that he will give you the next day)
4. AFTER THE
TEAMS/JUDGES ARE ENTERED AND PRINTED AND GIVEN TO JIM, YOU CAN THEN BEGIN

GET A “LIST OF AVAILABLE ROOMS” FROM JIM
REMEMBER—put LD rounds into SET ROOMS IN OLIN—DO NOT NOT NOT USE IE ROOMS FOR LD!

2. BY 6PM,
DOUBLECHECK IT! PRINT OUT YOUR JUDGE LIST AND
POLICY AND LD: COMPARE THE POLICY AND LD LIST—Stop Duplicates!
IE AND PARLI: COMPARE THE PARLI AND IE LIST—Stop Duplicates!
3. BY 7PM,
Give the printed and updated “List of Debate Teams sorted by Division” and
“List of Debate Judges sorted by School” to Jim BY 7PM.
4. INCORPORATE
THE ROOM LIST THAT JIM GIVES YOU (YOU’LL GET IT BY ABOUT 4 OR 5PM)—NOTE THE
FOLLOWING:

BY 3 p.m. send ballots and 4 sets
of Postings for Round 1 to JIM/the ballot distributors. NOTICE ONLY JIM
POSTS ITEMS unless it is posting time and Jim is not there.
4.
AT 5:00PM, AFTER CONFIRMING WITH JIM, ANNOUNCE THE
TOPIC IN OLIN 157 AND OLIN 130.
5. Thereafter,
30 MINUTES BEFORE each round, send THE BALLOTS AND 4 SETS OF POSTINGS to
the ballot distributors for that round.
6.
Make corrections for adds and drops when they come
in—NOTICE DROP A TEAM ONLY IF THEY FORFEIT TWICE OR JIM CONFIRMS THAT THEY
ARE OUT!!!!
WHEN BALLOTS AND POSTINGS SHOULD GO OUT
At least 30 minutes before the rounds begin.
REMEMBER THAT THERE IS EITHER AN LD OR A PARLI
ROUND, EACH AND EVERY ROUND DURING THE TOURNAMENT.
ALWAYS give these postings and ballots to Jim or
the tournament assistant to distribute. DO NOT POST YOURSELF. DO NOT PUT
BALLOTS OUT YOURSELF.
SATURDAY: SETTING UP FOR ELIM ROUNDS
1. PRINT AND DOUBLECHECK THE CUMS!!!
Look for any team given a forfeit, bye, zero
points, and make sure that those are
adjusted per any instructions Jim gave during the tournament. IT WOULD BE GOOD
FOR JIM TO DOUBLECHECK THIS. In general, you should ASSUME THAT TEAMS SHOULD
NOT RECEIVE A FORFEIT OR ZERO POINTS and that you have to doublecheck those for
proof that they should get a forfeit/zero points.
DOUBLECHECK YOUR JUDGES AND ROOMS TO AVOID
DUPLICATES. HS Tournament 2004—problems cropped up where 10 rooms got
double-used and 10 judges got double-used. Avoid that!!!
2. GIVE JIM YOUR LIST OF JUDGES SO THEY CAN BE CLARIFIED FOR WHERE TO
USE THEM.
3. Elim rounds should place teams
OCTAS 1 vs 16; 2 vs 15; etc.
QUARTERS 1 vs 8; 2 vs 7; etc.
SEMIS
1 vs 4 and 2 vs 3.
4. HOWEVER, WE DO BREAK BRACKETS. Do this very
carefully AND DOUBLECHECK!!!
If 1
and 8 are from the same school, then 1 hits 7 and 2 hits 8 instead. If 1 has
also hit 7, then, it becomes 1 hits 6; 3 hits 8; 2 hits 7.

SATURDAY EVENING
BY 8PM, Print out the LD prelim and elim results
BY 9:45PM

HIGH PRIORITY—GET THE
LIST OF PARLI TEAMS ADVANCING TO ELIMS.
2. Print the
Parli prelim sheets—GET TO PHOTOCOPIERS/PRINT ENOUGH FOR EACH SCHOOL
3. Print out the
ranking of speakers 1st through last sheets—GET TO PHOTOCOPIERS/PRINT ENOUGH
FOR EACH SCHOOL
SUNDAY MORNING
SUNDAY BY
11:30AM AT THE LATEST, GET READY TO ANNOUNCE AND GO TO THE AWARDS ASSEMBLY
1. Be ready
to announce the top speakers in each division of debate per the instructions in
the Invitation. (top 5 in all divisions).
Be ready to announce the elim losers in
each event who will receive an award (octafinalists and quarterfinalists)
2. THE PERSON
ANNOUNCING MUST BE APPROVED BY JIM.
SUNDAY
11:30AM, ANNOUNCE AWARDS DURING THE ASSEMBLY
The procedure for
announcing is as follows:
·
Tell all elim participants in the division (e.g., Jr. PARLI)
to come to the front on the aisles
·
Wait a moment for the competitors to come to the front sides
·
State, "Receiving octafinalist awards are the following
teams: Boise Johnson and Stone; pause; Ferris Gold and Bevel; pause; etc."
PLEASE DO NOT ANNOUNCE THE DECISIONS AND WHO HIT WHO—Avoiding that speeds up
the awards assembly.
·
After the awards are given, go on to the next group
Do not
announce the quarter-finals rounds and judges in the awards assembly
·
Pairings and Ballots should be available outside in Olin
foyer
We move back to Hunter including all supplies etc.
MAKE SURE THAT JIM HAS THE FOLLOWING FROM YOU:
