BALLOT TABLE WORKERS

 

Friday, 5pm to 10pm; Saturday 9am to 9:30pm; Sunday 9am to 5:30pm

 

I'm very glad to have you on board for this year's college tournament.

one thing i want to emphasize is that being nice, helpful, and supportive to
the students, coaches, and judges is absolutely vital. that is the number one
impression they get of the college and specifically of our debate program.
these folks tend to be kind of "spaced out" in their own tournament world
but they're also smart and almost always cooperative and helpful.

MEET US IN OLIN FOYER AT 2PM ON FRIDAY, FEB. 18.


when you come to the Olin foyer, GO TO ANDREW LUM and he will get you started. note that the tournament, particularly the
beginning, tends to be kind of crazy busy, especially for me. so, i may be a bit delayed/busy but just be persistent if you need to talk with me.

 

WHAT KIND OF CLOTHES TO WEAR?

Casual nice/Casual. No need for anything fancy but I would prefer you look neat and ready to help people!

 

FOR YOUR JOB, YOU WILL DO THE FOLLOWING DUTIES: Ballot Distribution, Ballot Collection, Ballot Running, and Guide duties.

 

BALLOT DISTRIBUTION

1. Make sure you have a copy of the tournament schedule and a map of our campus.  Blue Tape them to your table.

This will give you vitally needed information and allow you to help people who ask questions during the tournament.  If you don't tape these to your table, someone will take them.

 

2. Be at the ballot table at all times. 

DO NOT MOVE FROM THE TABLE EXCEPT IF YOU MUST FIND A JUDGE.  We need you to be available at any moment’s notice for help.

 

3. When the Tab Rooms bring out postings and ballots:

·       BE SURE TO SEE JIM; HE NEEDS TO BE IN CHARGE OF POSTING AND BALLOT DISTRIBUTION

·       Get copies of all postings for the round and tape them to your table
(if you don't tape them, people will take them). USE BLUE TAPE!!!

·       Put ballots out—SPREAD THEM OUT!
      Policy ballots should be spread out over 3 tables;
      LD ballots should be spread out over 2 tables;
      IE ballots should be spread out over 3 tables.

·       DO NOT put ballots out on the same table at which you collect ballots from judges. Doing so will cause too much congestion.

·       Begin distributing the ballots WHEN JIM SAYS TO DO SO. If Jim is not there and it is time to distribute per the schedule, you may post and distribute.

·       If someone picks up someone else's ballot--you MUST change the name on your copy of the posting. THIS IS VITAL so that we can track judges if something goes wrong.

·       10 minutes after the posting of the round--begin handing out ballots to standby judges. 
Again, change the name on your copy of the posting to reflect new judge's name.
FOR CHAMP LD AND POLICY, Jim needs to handle this so that we avoid giving struck judges ballots.

·       If you are having a hard time giving the ballots out--start shouting out the judges’ names on the ballots; go around the building and look for coaches without ballots.

 

COMMON QUESTIONS:

Judge says: “I have judged that team already.” Generally this should not happen. WORK WITH JIM TO GET THIS JUDGE A DIFFERENT BALLOT—NOTE: teams have requested specific judges, so you CANNOT just give a ballot to any judge. ANY JUDGE CHANGES MUST BE APPROVED BY JIM.

NOTE: A JUDGE CAN SEE a team in elims that he or she judged in preliminary rounds.

Judge or students say “The room is being used by other debaters.” Try to get Jim or Andrew to solve this.

Student says “I have a bye and was told to wait at the ballot table.” Say thanks and tell them to hang out near the ballot table for 15 more minutes; if they hear nothing within that time, then they do not debate during that round. Jim will assign them a round if it is possible/needed.

 

4. Note any judges that are not picking up ballots

·       Keep a list of judges who did not pick up their ballot. THIS IS CRITICAL SINCE WE NOW CHARGE JUDGES FOR MISSING BALLOTS OR WHO ARE LATE.

·       Give the list to Jim immediately after all the ballots have been distributed.

BALLOT COLLECTION

1. Make sure you have a copy of the tournament schedule and a map of our campus.  Blue Tape them to your table.

2. Be at the ballot table at all times EXCEPT ONE PERSON WHO IS MORE A “GUIDE” (see below).

DO NOT MOVE EXCEPT WHEN YOU MUST FIND A JUDGE.  We need you to be at the table to help at the moment’s notice.

 

3. As each ballot comes in:

1.     Ask the judge to stay until you finish checking her or his ballot.  DO NOT LET HER OR HIM GO UNTIL YOU HAVE CHECKED!

2.     A BALLOT WITH A NO-SHOW? Make sure it really is too late for a competitor to present.

3.     MAKE SURE THAT NAMES ARE ON THE BALLOTS!

4.     For IE Ballots--Make sure all rankings are included--1, 2, 3, and 4  (5's are not permitted--make sure the judge gave no worse than a 4)

5.     For IE Ballots—Make sure the list of speakers and their order match with the ballots/posting.

6.     For Debate Ballots--Check that the judge voted for ONE AND ONLY ONE team

7.     For Debate Ballots—Make sure that the team that is affirmative on the ballot was the team that was supposed to go affirmative in the round.

8.     Look for speaker points--
Points beneath 24 need serious justification (as in rudeness).

9.     Make sure that the winning team had the highest points--if not, ask the judge to confirm that she or he gave the win to the low point team.

10.  Check for the judge's signature--If the name is different from the name on your posting--make a note of it.

11.  Mark off the judge's name on your copy of the posting sheet.  (That way, you know which ballots are "in" and which ballots are not "in".)

12.  WHEN YOU ARE DONE, TELL THE JUDGE HE/SHE CAN NOW PICK UP HIS/HER NEXT BALLOT.

13.  Give all ballots that you have marked to the ballot runner ASAP. 

14.  WRITE DOWN ANY JUDGES NAMES WHO TURN IN THEIR BALLOT AFTER THE DEADLINE.

15.  GIVE THE LIST OF LATE JUDGES TO JIM AS SOON AS POSSIBLE AFTER ALL BALLOTS ARE IN.

 

COMMON QUESTIONS YOU MIGHT HEAR

Judge says: “What points do I give for a team that forfeited?” Answer: Zero. If the students spoke for a portion and then gave up—you can give them a portion of their points—say 12 out of 30 points.

Judge says: “What do I do with the points for the team that receives the bye?” Answer: Write in “Average points.”

Person asks: “Do you power protect or power match?” Answer: Power matching in debate begins in Round 2. We do not power protect. In individual events, pairings are done by adjusting speaking panels to have different speakers and speaker in a different speaking position from their previous round.

Person says “I can’t find my room.” “I don’t have a judge.” SEND THEM TO JIM.

 

BALLOT RUNNING DUTIES

 

·        Make sure the COFFEE AND HOT WATER POT stay full and hot and that the doughnuts/coffee/food area remains neat and clean.

·        Make an effort to keep the Olin Foyer, 130, 157 and 161 are kept clean.

·        Throw away trash as soon as it appears!

·        Assist with other matters as directed by the Tournament Director or Tournament Assistant

 

·        Be at the ballot table 20 minutes before a round is supposed to end.

·        Collect ballots from the Ballot Collectors.

·        Bring the ballots to the Tab Room (Olin 155) as soon as possible.

·        NOTE--DO NOT WAIT MORE THAN 5 MINUTES TO BRING BALLOTS TO THE TAB ROOM!
You need to keep going back and forth. Keep the tab rooms busy with stuff to enter. If they don’t get the ballots—they run behind.

GUIDE DUTIES

 

MAKE SURE YOU ARE WEARING A NAME TAG CLEARLY MARKING YOU AS A GUIDE

 

BALLOT TABLE PEOPLE NEEDS TO PERFORM THESE DUTIES EACH TIME THAT YOU ARE AT FIVE MINUTES AFTER ALL BALLOTS HAVE BEEN DISTRIBUTED.

 

GO TO Olin 180, the small computer lab. Monitor students in the small computer lab. Help them. Return to the ballot table 20 minutes before the round ends.

 

Do a quick walk through the buildings we are using (Olin, Science, and Maxey) and check to make sure there aren’t problems—EACH BUILDING SHOULD BE WALKED THROUGH TWO TIMES DURING EACH ROUND.  Return to the ballot table 20 minutes before the round ends

If you see a professor, ask if he/she has had any problems. FIGURE OUT A WAY TO SOLVE IT—INCLUDING POSTING SIGNS.

            PLEASE DO NOT go into Prof offices to ask—ask only if you see them. DO NOT ASK A PROF about problems more than once.
