BEFORE CAMP

 

1. You are required to have van safety certification from Whitman College.

 

2. Keep in e-mail contact with Jim. It is important as things pop up needing attention.

 

ARRIVING AT CAMP

 

1. You should arrive at the camp on-time:

 

YOU NEED TO SHOW UP BY 11AM ON THE DAY YOUR CONTRACT STATED.

 

NOTE: IF YOU NEED TO BE PICKED UP—YOU NEED TO STAY IN CONTACT WITH ME CLOSELY.

 

NOTE: Official Check-in for the camp begins at 11am on Sunday, the 19th but Work Study students begin arriving on Saturday afternoon the 18th and so there will be some residence hall duties during that time.

 

NOTE: Sunday evening, the first night, at 7pm, the camp begins with the first meetings with students.

 

2. You will be provided with housing at the camp in a double occupancy room with another staff member in Jewett Hall.

 

3. You have a multifaceted job that involves helping Jim to setup the camp. He needs your help with various duties including ones that he can’t predict ahead of time. Please help. If your pre-camp assistant work exceeds 42 hours, tell Jim, you will be compensated extra.

4. THE MOST IMPORTANT THING YOU CAN DO IS PROVIDE SUPPORT FOR JIM.

Concretely, that means:

A.     No complaining, hostile criticisms, disobeying, etc.

B.     Being nice and supportive toward Jim.

C.     Be there when Jim needs you. Don’t run off without telling Jim. Don’t avoid work. Don’t turn your cell phone off.

D.    Why? THIS JOB IS UNBELIEVABLY STRESSFUL ON JIM. HELP HIM.

 

THURSDAY PRE-CAMP ASSISTANT ASSIGNMENTS

You will be assigned to Assistant 1, 2, or 3 duties for Thursday. Each involves about the same amount of work. Assistant 2 must have a car if Jim doesn’t have vans. After Thursday, you will just do whatever Jim says to do (although the typical duties are listed below).

           Go through the Supplies on the next page and see how many we have here in Hunter. Tell the Store person how many we actually need to get.

Get the Debate Camp username/password for the computers

 

         Check 2 computers IN THE HUNTER LAB for the following:

_____Scanner/OCR software works

If there are any problems, contact Jim right away

Meet at Jim’s Office at 11am

THURSDAY GET YOUR VAN BY 11AM—NEEDS TO BE RETURNED BY MONDAY 11AM unless Jim says differently.

--ASK JIM HOW MANY LD AND HOW MANY POLICY LAB LEADERS

--ASK HEAD PRINTER IF WE NEED ANY FIRST AID KITS PURCHASED

_____ CHECK AND STOCK MAXEY--ASSISTANT 2--MEET AT HUNTER 308 RIGHT AFTER GETTING BACK FROM THE STORE—TRY TO GET BACK BY 1PM!

 

BEFORE YOU LEAVE FOR OLIN

1) Jim needs to call Conference Services to make sure the rooms are open in Olin;

2) Jim needs to give you a list of Olin and Hunter rooms that we are using

3) Jim needs to give you signs/maps/schedules to post PLUS THE HOW TO USE THE WNDI TEMPLATE sheet

4) Get the username/password for the computers

5) MAKE SURE YOU HAVE BLUE TAPE.

6) GET A KEY FOR OLIN FROM JIM.

 

____ CHECK EACH OLIN ROOM (including in the East Wing).

Air conditioning working?

Large items blocking access to space?

Substantially less chairs/desks than Jim thinks?

Expensive equipment that students could break?

 

          IN EACH ROOM, PUT 4 dry erase markers on the white board or 2 pieces of chalk on the blackboard

PLUS PUT AN EMPTY BOX IN THE ROOM FOR RECYCLING.

 

          Tape the "WNDI TEMPLATE" sheet to the main table or wall of each lab room. USE BLUE TAPE

 

____ Check the computer labs; if there is a problem such as it is a mess; computers don’t work, etc.--contact Jim

 

____ Check TWO Computers in Olin for ALL of the below:

Dcamp with password works

Debate template works

Table of Contents feature works in the debate template

You can print from the computer (watch for doublesided)

Make sure you can save your file to the dcamp server folders

 

____ Post schedules on the wall across from the computer lab

 

        Post the Olin Signs

 

____ Check the vending machines. Tell Jim if items are low.

 

You need to see Jim when you are finished and review these items.

JEWETT PRE CAMP ASSISTANT THURSDAY DUTIES

MEET AT HUNTER 308 AT 11AM

 

AT 11AM:

THURS. GET YOUR VAN BY 11AM—NEEDS TO BE RETURNED BY MON. 11AM unless Jim says differently.

Go with the Store Assistant to Jim’s House; get sheets, blankets, pillows, fans, little garbage cans, etc.

WHEN FINISHED FROM JIM’S HOUSE

GET THE KEYS to the rooms in Jewett from Jim

Get the list of rooms you need to check from Jim or the

IN AN EMAIL TO JIM at hansonjb@whitman.edu TELL HIM HOW MANY KEYS WE HAVE FOR EACH ROOM.

Get a portable computer with an Ethernet cord and a phone cord; see Jim; Make sure you get directions for doing this from Jim.

Get $ from Jim for doing the Laundry

WASH AND DRY THE SHEETS/BLANKETS

Take Sheets etc. and begin washing them. MIDWAY through the below, move them from the washers to the dryers. DO NOT USE HOT WATER—USE WARM WATER SETTING.

Count up the number of Sheet sets and Pillows we have. We need to know this so that we can get more as is needed.

Put the small garbage cans into the Jewett Lounge (2 for each room).

IN EACH AND EVERY RESIDENCE ROOM IN JEWETT

____ Test each and every key for each room; Write down any room where we don’t have a working key for the room; give this list to Jim ASAP

         Check that phones work in rooms--test each one for a dial tone. Tell Jim about any problems.

____ Does each room have the number of beds shown on the list of rooms that Jim gave you? If it doesn’t          --YOU HAVE TO TELL JIM!!!! EMAIL JIM.

REMEMBER—YOU TEST EACH AND EVERY ROOM IN JEWETT!!!

         Go to the Front Door of Jewett (looking out to Ankeny) and TEST EACH AND EVERY KEY on the door for entering Jewett; Write down any room where we don’t have a working key to get into the Jewett building and give this list to Jim ASAP

Check the fridges to make sure each works. (Fridges get moved in to the rooms on Saturday)

Notify Jim of any damage in the rooms or fridges.

IN JUST ONE ROOM IN JEWETT

____ Make sure the portable can hook up to the internet via Ethernet and Wireless; Write down and inform Jim of these differences from the directions he gives you to do this.

COME BACK AND INFORM JIM OF ANY KEY, PHONE, INTERNET PROBLEMS AND 1 OR 3 BED ROOMS. HE NEEDS THIS INFORMATION AS SOON AS POSSIBLE SO THEY CAN BE FIXED BEFORE CAMP STARTS.

AFTER YOU COMPLETE THE ABOVE, GET THE FOLLOWING FROM THE STORE ASSISTANT

1) Get the Jewett supplies

2) Find out which bathrooms are male and which ones are female from Jim

3) Get the posting sheets

4) Get a schedule

5) Get Cooking Supplies for the Kitchens; hide the paper plates, plastic spoons, etc. in the kitchens too

6) Get the playing cards and games for the Jewett Lounge.

7) Get a ream of paper, blue tape, and 3 sharpies.

8) Get the pool table equipment, ping pong, Frisbees, and foosballs.


JEWETT PRE CAMP ASSISTANT continued

 

GAME ROOM (JEWETT DOWNSTAIRS)

____ Put the pool table equipment, ping pong stuff, Frisbees, and foosballs into the game room.

____ Setup two fans in the game rooms.

____ Check the vending machine downstairs. Take note if it is low on items AND TELL JIM.

LAUNDRY ROOM (JEWETT DOWNSTAIRS)

____ Put laundry detergent and fabric softener into THE JEWETT LAUNDRY ROOM.

REMEMBER TO PUT THE SHEETS/BLANKETS INTO THE DRYER

BATHROOMS

____ Put one liquid soap bottle and THREE rolls of paper towels in each bathroom

____ Check for toilet paper in the bathrooms; if there isn’t any, notify Jim ASAP

____ Post signs saying whether a bathroom is male or female (ask Jim which is which)

____ Post signs for the bathroom codes, and make sure they are at all bathrooms including in the D and E wings

____ Put rest of paper towels in the kitchen with a note saying “put into bathrooms when they run out”

        Post all of the Posting Sheets in Jewett

KITCHEN

____ Put cleaning spray into the kitchens in Jewett

         Put a pot, a frying pan, a big spoon, a spatula and a knife in THE JEWETT FIRST FLOOR KITCHEN

____ Check the kitchen in Jewett First Floor; clear space for food in the refrigerator

_____Put spoons, forks, 4 rolls of paper towels, plates, bowls, one ream of paper, 2 sharpies, and one roll of blue tape, and 4 rolls of packing tape on top of the fridge in the kitchen with TWO signs saying “DO NOT TOUCH. These are for Jim Hanson.”

         Put the ream of paper, blue tape, and the sharpies on top of the fridge in the kitchen.

NEAR THE STAIRS

____ Post signs near each set of stairs and on each floor saying “no horsing on the stairs”

NEAR THE ENTRY TO JEWETT

____ Post the schedule in the entry way

____ Post signs in the entry way and in the halls saying “no bunking the beds”

____ Post sign in the entry way about what to do if you lose your key

____ Post a sign in the entry way saying don’t leave valuables lying around

____ Put the playing cards and games into the JEWETT LOUNGES

____ Setup four to six fans in the lounge so the kids stay cool in the lounges.

_____ WE NEED TO MAKE SURE THAT EACH ROOM WITH WINDOWS OPENING TO THE PARKING LOT/ANKENY LEVEL HAS A WOODEN STICK TO ASSURE THAT NOONE CAN OPEN THE WINDOW.

 

You need to see Jim when you are finished and review these items.

DRIVERS GET THE VANS THURSDAY MORNING—BY 11AM OR EARLIER IF SO INSTRUCTED

TELL JIM THE CELL PHONE NUMBERS you will be using.

Be sure to TURN ON your cell phones so that Jim CAN CALL YOU WITH LAST MINUTE CHANGES

 

NOTICE CONCERNING DRIVING:

It is vital for safety and liability that you be ready to drive safely.

 

NO DRINKING OF ALCOHOL OR CONSUMPTION OF ILLEGAL SUBSTANCES WITHIN 24 HOURS OF ANY DRIVING. You begin driving Saturday.

 

ALSO—YOU MUST GET SLEEP. YOU ARE EXPECTED TO BE IN YOUR ROOM IN BED AT LEAST 8 HOURS PRIOR TO YOUR WAKEUP TIME ON ANY DAYS WHEN YOU DRIVE.

 

REMINDER—YOU ARE NOT PERMITTED TO BACKUP IN THE VANS unless absolutely necessary.

 

REMINDER—DO NOT EXCEED THE SPEED LIMIT.

 

DRIVE KIDS PER THE SCHEDULE JIM PROVIDES

  • Be sure to have your Government Photo ID
  • Be sure to have the Whitman Travel Password
  • Be sure to know the exact names of the kids you are going to pickup; remember, you will probably need to go to the airline inside the terminal to get some of these kids.
  • Greet the kids warmly. Try to talk with them. Show them Whitman hospitality.
  • Be sure to have some doughnuts and healthy snacks to give these kids when they get into the van.
  • When they get in to the airport—have them call their parents/family. If they don’t have a cell phone—let them use yours. PLEASE.
  • CANT’ FIND A KID? Be sure to check the restaurant and news magazine stores, etc.
  • For a few kids, you need to go inside to the airline and confirm your identity to get the student.

 

REMEMBER when you drop off kids at the end of camp; you may have to check them in with their airline inside of the terminal.

 

 

HELP WITH VARIOUS PROJECTS JIM AND THE HEAD PRINTER NEEDS INCLUDING THE PRINTING PROCESS AND IN MONITORING THE WORK-SCHOLARSHIP/EARLY ARRIVAL STUDENTS

HEAD PRINTER, FRIDAY THRU SUNDAY

 

HEAD PRINTER PERSON IS IN CHARGE OF PRINTING AND MONITORING THE WORK-SCHOLARSHIP STUDENTS

Find out what projects Jim has planned for these kids. Talk to Jim about this.

 

This means watching them work in the Computer Lab on Saturday afternoon, evening, and Sunday afternoon. Have these kids help you collate printing, scan, etc.

 

GET AND FOLLOW THE PRINT DEADLINES DOCUMENT! Click here!

 

Coordinating with Jim, print the affirmatives, negatives, definitions, disads, counterplans, and kritiks

 

MAKE SURE THAT THE AFFIRMATIVES ARE DONE BY 4PM ON SUNDAY!!!

 

MONITOR ALL EARLY ARRIVAL STUDENTS

Assist with their check-in including calling their parents.

Help get them food as needed

Monitor them in the residence hall in the evening—MAKE SURE THAT THERE IS AT LEAST ONE AND PREFERABLY TWO STAFF MEMBERS IN THE RESIDENCE HALL FROM 10PM TO 1AM EACH NIGHT.

 

HELP WITH VARIOUS PROJECTS JIM NEEDS

 

SUNDAY EVENING

 

____ DROP OFF 8 BOXES OF PAPER IN THE OLIN COMPUTER LAB. OLIN NEEDS THIS PAPER TO PRINT ON.

 

 

DEBATE ROUND TABBING

·        Tab debates including coordinating with Jim, posting rounds, and recording results as needed.

·        NOTE: TALK WITH JIM TO SET UP THE JUDGING FOR THE DEBATES.

·        There is a Junior-Novice Division and an Open Division. If there aren’t enough for a division, then have a breakout elim round(s) for that division.

·        POSTINGS MUST SHOW THE FIRST AND LAST NAME OF EACH DEBATER. We must have this for safety reasons as we need to get to kids during emergencies. MAKE SURE THIS HAPPENS. Sorry, no abbreviations or funny names—we have had problems with that in the past.

·        Email Jim DURING THE BEGINNING OF THE FINALS ROUND with the top open and top novice speaker awards and the quarterfinalists, semifinalists, second place, and first place teams (you can send who the finals round teams are since you won’t know who won).
