POSITION PURPOSE
The Administrative Assistant in the Development Office supports five members
of the Development Office: the Director of Planned Giving, three Major Gifts
Officers, and the Associate Vice President for Development This position requires
discretion, attention to detail, excellent office and computer skills, including
Word and Excel, and ability to compose correspondence and meet deadlines.
PRINCIPAL ACCOUNTABILITIES
1. Assists the Director of Planned Giving with life income contracts; organizing
several meetings a year of the Planned Giving Committee and the Planned Giving
Advisory Council; editing newsletters, brochures, and other materials; mailing
unitrust statements twice yearly; and other mailings as needed.
2. Assists the major gifts officer in charge of the Parents Program. This includes
organizing invitations, solicitations, and two meetings per year for the Parents
Leadership Committee, plus preparing extensive materials for these meetings,
and planning and executing a number of events during Family Weekend. Additional
duties include segmented solicitations (according to student class year, past
parents, giving levels, etc) to senior parents, parents emeriti, and first-,
second-, and third-year parents.
3. Assists the major gifts officer in charge of the 25th and 40th reunion fund
drives. This involves letter solicitations, tracking volunteer solicitations,
and fielding questions about the funds.
4. Assists the major gifts officer in charge of the President's Associates program.
Assists in soliciting nearly 2,000 alumni for membership in President's Associates
twice yearly. Helps organize the Gift Society Weekend and other events as needed.
5. Assists the Associate Vice President for Development with solicitation for
members of Gift Societies. The solicitation involves a very specialized segmented
mailing to several hundred people.
6. Miscellaneous duties for various staff members includes preparing correspondence;
reconciling purchase card statements; making travel arrangements; preparation
of expense reports; attending tracking meetings and preparing the minutes for
these meetings; purchasing office supplies; preparing miscellaneous materials
such as RSVP lists, schedules, agendas, itineraries, and nametags; preparing
prospect folders and materials for trips; reserving rooms, arranging catering,
and other duties for events; Millennium attribute entry and maintenance, preparing
birthday cards for alumni who are 85 or older, troubleshooting low-level Outlook
and other software problems, backing up the Executive Assistant in his or her
absence; and answering the college information telephone line as needed.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
Individuals must be able to explain and/or demonstrate that they possess the
knowledge, skills, and abilities to safely perform the essential functions of
the job, with or without reasonable accommodation.
1. Able to communicate both orally and in writing at a high skill level.
2. Demonstrated general office skills including spelling, proofreading, general
computer skills.
3. Ability to sit at a desk for extended periods.
MINIMUM REQUIREMENTS
Associate degree or equivalent in experience, general computer skills including
word processing, spreadsheets and ability to learn specialized computer programs
are required.
